Registrations can only be completed on-line. When registering, please specify your preferred full name, company, and country as you desire it to appear on your badge.
 
After completing the registration form, an automatic confirmation email will be sent with your registration number. You will find a proforma invoice if the payment method is bank transfer. The invoice will be sent to you as soon as payment is received.

Please note registrations are confirmed once payment is received.
 
You may benefit from a special rate. Please provide proof of your status if you are registering as a student. If no proof of enrollment or student ID/certificate is submitted, you shall be required to pay the delegate registration fee.

Registrants are able to check the status of their registration and payment on their personal account. Credentials are indicated in the confirmation email. You will be able to download and print your registrations documents from your personal account.
 
An invitation letter can be requested when registering. This letter will automatically be sent by email within 1 business day. Please note that the EVS38 Organizers cannot intervene in your visa application process; you are responsible for managing your own visa application. Payments shall be in Euros with the following available options.

Credit card

On-line by credit card (Visa or Mastercard) via redirected secure banking page
If you decide to pay on-line a few days after completing the form, access your personal account. You will find the button to the redirected secure banking page

Bank wire transfer:

Direct bank transfers shall be made to the dedicated account. All bank charges for remittance must be paid by registrants
Please note your transfer must state as reference “EVS38 + invoice number or registration number + attendee’s name”

Upon clearance of your payment and once processed through the registration system, your status will change to be confirmed and finalized. The invoice will be sent and available on your personal account.

On-site payments

On-site acceptable payments include cash (Euro) or credit card (VISA or Mastercard).

Unforeseen circumstances might result to cancellations. Only written cancellations by email will be accepted based on the received date.

Please note that refunds will be processed according to the following cutoff dates:

• Until November 30th, 2024: full refund
• Until April 15th, 2025: 50% refund
• From April 16th, 2025: no refund

Payments made on-line with a credit card will be refunded on this valid credit card,
For bank transfers, refunds will be processed via bank transfer in Euros after completion of EVS38. Bank charges are the responsibility of the registrant.
 
EVS organizers are not responsible for any losses incurred by attendees, including (but not limited to), hotel deposits, and airline/train cancellation charges.
